Executive Assistant to the Senior Pastor
Role

Under the direction of the Senior Pastor, the role of the Executive Assistant to the Senior Pastor is to care for the communication, scheduling, and administrative tasks related to the role of the Senior Pastor. The purpose of this role is to increase the effectiveness and reliability of the Senior Pastor, and subsequently the church as a whole.

Character

The Executive Assistant to the Senior Pastor must have an active and growing personal relationship with Jesus Christ, uphold and live out biblical principles and core values both in their personal life and in their professional life, have a servant’s heart, be a self-motivator, and take personal pride in his/her work. They must be confidently firm but also friendly and courteous to everyone. They must be a team player to the staff and a friendly, dependable, representative of the Senior Pastor to the congregation and community.

Responsibilities

The Executive Assistant to the Senior Pastor will handle a wide range of administrative tasks. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a high level, executive-minded leader. They must be technologically savvy, with the ability to effectively communicate through multiple electronic platforms, as well as in person, and over the phone. The Executive Assistant to the Senior Pastor must have the ability to interact with all levels of internal staff, congregants, visitors, and external church relationships in a fast-paced environment and remain flexible, proactive, resourceful, and efficient with a high level of professionalism and spiritual maturity.

Scope of Work
  • Maintain the Senior Pastor’s calendar, creating and managing appointments, meetings, and phone call appointments, including meetings with congregation, staff, ministry contacts, boards, and ministry teams, keeping all appropriate parties informed in advance.
  • Act as the first point of contact for all parties desiring the time of the Senior Pastor ascertaining the reason of the request and directing the request to the appropriate staff member or ministry before reaching out to the Senior Pastor.
  • Maintain communication on behalf of the Senior Pastor through various methods including both electronically and in person.
  • Be knowledgeable of the overall church goals and the ministries of the church and the Senior Pastor’s role and responsibility in each.
  • Manage all travel, speaking engagement, weddings, funerals, and community events,
    coordinating details with all parties involved.
  • Manage expense reporting for the Senior Pastor, as well as expense reporting for the
    Executive Assistant.
  • Be present during Sunday services and during special services as directed by the Senior Pastor to assist the Senior Pastor with any ministry needs as they arise.
  • Communicate regularly with the Senior Pastor’s wife to ensure a strong family-church relationship, working together to ensure an effective, healthy, and sustainable rhythm of life and schedule.
  • Conduct research for sermon preparation or meeting preparation as directed by the Senior Pastor.
  • Prepare ministry correspondence as needed.
  • Ensure the Senior Pastor is aware of all staff birthdays, anniversaries, prayer needs, etc.
  • Prepare correspondence from Pastor on the one-year anniversary of a church member’s death to the family.
  • Ensure that all first-time guests receive a follow up email or other correspondence from the Senior Pastor at the beginning of each week.
  • Assist the Senior Pastor in preparing for leadership and staff meetings as needed.
  • Answer calls and voicemail, respond to emails, and screen as appropriate.
  • Set reminders for meetings, appointments, and other tasks.
  • Take notes at meetings as requested and prepare minutes for the Senior Pastor.
  • While the church employs a custodial staff, the Executive Assistant will keep the Senior
    Pastor’s office and conference rooms neat, clean, and ready for meetings, counseling
    sessions, and other appointments.
  • While the primary duties of the Executive Assistant will be to the Senior Pastor and they will report directly to the Senior Pastor, they will at times be assigned additional administrative responsibilities such as assisting and/or filling in for the Administrative Assistant.
  • Other duties as assigned by the Senior Pastor.
Required Skills & Competencies
  • Have extremely strong administrative, organizational, and people skills.
  • Have the knowledge and experience necessary to proficiently maintain calendars, email, and computer files.
  • Able to multi-task with the ability to work effectively while being flexible and adaptable in an ever-changing environment.
  • Advanced oral and written communication skills.
  • Not easily frustrated or angered, having the ability to be firm but friendly.
  • Have a strong desire to see Kingdom/church growth through complementing and supporting
    the Senior Pastor.
  • Trustworthy. Not given to gossip. The ability to maintain strict confidentiality and use wise judgment in written and verbal communication. Any breach of confidentiality will be reason
    for immediate dismissal.
  • Maintain a neat, professional appearance.
Preferred Education & Experience
  • Bachelor’s degree, preferably with an emphasis in communication or writing.
  • Previous Executive Assistant experience within the context of a local church environment.
Hours and Benefits
  • Full Time. The Executive Assistant will be expected to be in the church office Monday –Thursday, 8am – 5pm, with a 1-hour lunch break, occasionally available to work remotely on Fridays 8am – Noon, be on campus on Sunday’s during church services and other special events as required by the Senior Pastor, and be available on call 24/7/365 except during vacation or sick days.
